A tidy digital dashboard can increase work productivity and avoid distractions. After archiving completed documents for a while, you may wish to remove some of the tasks, especially expired documents from the Archive section to keep it tidy (To learn more about our Archive feature, please visit: How to Archive Your DottedSign Document). Now you may delete completed and canceled tasks that are no longer needed through the task advance settings. To avoid misdeleting, the deleted tasks will be stored in the Trash section for 14 days before it is deleted permanently.
How to Delete Completed and Canceled Tasks
- Find the document you would like to delete in the “Completed” or “Canceled” section (If the document you wish to delete is archived, you need to unarchive the document before deleting. Unarchive tutorial: How to Archive Your DottedSign Document).
- Locate the document and click “More (···)” to expand the settings tab.
- Select “Delete”.
- The deleted task can be found in the “Trash” section.
- A notification email is received if a completed task has been deleted.
*Note:
- Only tasks in the “Completed” and Canceled” sections can be deleted. To stop the in-progress tasks, you need to Void the task first (Tutorial: How to Void Your Document During the Signing Process).
- All parties involved in the task will receive one notification email of the task being deleted if the task is in completed status and will receive another email notification one day before the task is deleted permanently.
- Deleted tasks in the trash will remain accessible and restorable for 14 days.
How to View and Restore the Deleted Tasks
- Go to your dashboard.
- Click “Trash”.
- You will find all the deleted tasks in this tab.
- If you would like to restore any of the tasks, locate the document and click “More (···)” to expand the settings tab.
- Select “Restore”.
- The document will be moved back to the section before being deleted.
- You may change the filter in the Trash to filter out tasks that are not “Send by Members” or “Request Members to Sign”.
*Note:
- Tasks in the Trash section will be deleted permanently after 14 days.
- Deleted tasks in the Trash section may not be archived and labeled. If you wish to make changes to the task, please restore the task first.
- Task owner or signers will still have permission to download the file and its audit trail for task types of completed, voided, and declined; the audit trail of expired tasks are not downloadable for both task owner and task signers.
From the Admin Perspective: How to Delete Completed and Canceled Tasks of Your Team Member
- Go to the “Admin Console”.
- Click “Management” under the “Tasks”.
- Find the document you would like to delete of your team member (To find out how to search team members’ tasks in the admin dashboard, please visit: How to Search Team Member Tasks as Admin).
- Locate the document and click “More (···)” to expand the settings tab.
- Select “Delete”.
- The deleted task can be found in the “Trash” section.
- You will receive a notification email if a completed task has been deleted.
