How to Set Up Field Sync Labels

When signing documents, repeatedly entering the same information—such as company names or tax IDs—can lead to manual errors. These mistakes often result in tedious back-and-forth corrections or even the need to restart the entire signing process.

By using the Field Sync Label feature, you can assign the same label to fields that require identical information. When a signer fills in one of these fields, all others sharing the same label will automatically populate with that information. This ensures data consistency, eliminates manual errors, and significantly boosts signing efficiency.

Note: Field sync label is an advanced feature available in the DottedSign Business Plan. Start your 14-day free trial today to experience it!

Supported field types for sync labels include: Text, Checkbox, Image, and Hyperlink.

Follow these steps to set up the field sync label:

  1. Click the More “···” icon next to a field to open the Field Properties.
  2. Click to expand the Field Sync Label section.
  3. Enter your desired label name. Naming Rules: Only English letters, numbers, or underscores are allowed (Max 50 characters).
  4. Click "Confirm" to complete the setup.

Pro Tips

  • Quick Duplicate: You can copy and paste a field that already has a sync label; the system will automatically apply the same label to the new field.
  • Check Sync Status: Open the Field Properties and go to the "Field Sync Label" section to see the total number of fields currently synchronized under that label.

Once a signer completes any one of the synchronized fields, all other fields with the same label will update instantly.

Note: Within a single signing task, different field types cannot share the same sync label (e.g., you cannot use the same label for both a "Text" field and a "Hyperlink" field).
