How to Assign a Checker in the Signing Workflow

In signing workflows, internal "checks" ensure document accuracy and readiness before completing the task. This mechanism offers flexibility, balancing rigor with efficiency.

For example, when you complete a quote or form, assign a supervisor as a "Checker" to review and provide feedback. Once the content is confirmed and the supervisor signs off, the document automatically proceeds to the client for the final signature.

Follow these steps to set up the Checker role:

  1. Click “Get Signatures” to create a new task.
  2. Upload the file to be signed.
  3. Assign Signers to the task.
  4. Click More “···” next to the signer field to open advanced settings.
  5. Under “Checkers”, select the Checker(s) for Signer from the dropdown menu. Multiple checkers can be assigned to each signer.
  6. Click "Confirm" to complete the advanced settings.
  7. After completing the checker settings, a blue checkmark icon will appear next to the signer's icon.
  8. Continue completing the signing task settings and send the task.

Note:

  1. Only participants already assigned to the task can be designated as checkers.
  2. If the Signer is not required to reconfirm their entries after the check is complete, the system will use the Signer's last edit record as the official signature timestamp.
  3. If the Signer’s final confirmation is required, once the Checker completes the review, the task will be returned to the Signer. The checking process is only finalized once the signer confirms.
  4. The Checker role is not supported in Front Desk mode. If a template with a Checker role is used, the system will automatically remove it.
  5. Once the signing or editing privilege is transferred, the checking privilege will be transferred to the new recipient as well.
  6. If the checker has not registered for DottedSign and the email link expires, Sender can go to the task card's "..." > "Recipient Status" and click "Resend" to send a new valid link.
