As an admin, you will have complete control over giving and removing certain permissions to the roles which your team members are assigned to through the Admin Console.
How to View Team Member Permission as Admin
- Go to the “Admin Console”.
- Click “Permission” under the organization section.
- You will find all the permissions on the page.
How to Edit Team Member Permission as Admin
- Go to the “Admin Console”.
- Click “Permission” under the organization section.
- Click “ Edit” to change the setting.
- Scroll down to find the permission you would like to give.
- Select or unselect the checkbox to give or remove permission to the role.
- Scroll up and click “confirm” to apply the change.
In order to give you a better understanding of each authority you as an Admin have, we will elaborate on each of them in the below section, sequencing by the order shown on the permission settings.
*Note: Some permissions will not apply to all roles. It might only be valid for admin and/or managers.
Users Section
Manage user - Roles with this permission will be able to invite, manage, remove users and purchase for more user usage.
View team users list - Roles with this permission can access the user lists (in the “Users” section) as well as usage reports (in the “Reporting” section) in the Admin Console.
Manage permissions - Roles with this permission will have the permission to edit other team member’s permissions in the permission settings.
Task List Section
View team tasks - Roles with this permission will have access to see all the other team members' tasks in the “Task management” section. (Tutorial: Tracking Each Member's Task Progress)
Export team completed tasks to external storage - Roles with this permission will be able to export team members completed tasks to external storage, such as Google Drive in the “Task management” section. (Tutorial: Export Signed Documents to Google Drive)
Task - Sign Yourself Section
Download the self-signed file - Roles with this permission will be able to download the task that is assigned and completed by themselves.
Delete the self-signed file - Roles with this permission will be able to delete the task that is assigned and completed by themselves.
Download the signed files created by team members - Sign Yourself - Roles with this permission will be able to download the task file that is assigned and completed by the team members (tasks that are owned by other team members).
Task - Get Signatures Section
Download the raw file of incomplete signing tasks - Roles with this permission will be able to download the task file that has not been completed.
Delete the completed signing tasks - Roles with this permission will be able to delete the task in the completed section.
Delete the incomplete signing tasks - Roles with this permission will be able to delete the incomplete task in the canceled section.
Download the signed file of completed signing tasks - Roles with this permission will be able to download the task that has been completed by the signer. (Tutorial: How to Download the Completed Document?)

Bulk Send the signing request to multiple signers at one time - Roles with this permission will be able to use the bulk send feature to send out signing tasks to a list of signers all at once. (Tutorial: How to Send a Task to Multiple Signers Using Bulk Send)
Create Front Desk signing tasks - Roles with this permission will be able to create a front desk signing task for signers for face-to-face signing. (Tutorial: Get Signatures from Signers in Person by Using Front Desk Signing)
Archive signing tasks - Roles with this permission will be able to archive the completed and canceled tasks to the archive folder. (Tutorial: How to Archive Your DottedSign Document)
Void the incomplete signing tasks - Roles with this permission will be able to stop the ongoing signing process of the task directly. (Tutorial: How to Void Your Document During the Signing Process)
Organization Section:
Manage company name - Roles with this permission will be able to edit the company name shown on their DottedSign profile. (Tutorial: Managing Organization Information and Branding)
Manage company logo - Roles with this permission will be able to upload the company logo of your organization on the profile page. (Tutorial: Managing Organization Information and Branding)
Manage Email display name - Roles with this permission will be able to edit the email sender’s name when they send signature request emails to the recipients . (Tutorial: Managing Organization Information and Branding)
Manage reasons for declining - Roles with this permission will be able to set the decline reason for the signer to select when declining. (Tutorial: How to Decline a Signature Request)
View Reporting - Roles with this permission will be able to have access to the report of each task’s responding information in detail, including the signing rate, completion time etc. (Tutorial: Accessing Your Management Reporting)
Sharing Section:
Share Templates with the team - Roles with this permission will be able to share the templates created by themselves with other team members. (Tutorial: How to Use Shared Templates in Your Team)

Different Permission Perspectives
When setting the permission for different roles, you might find that different perspectives were mentioned in the “Get Signatures Section” under the same kind of permission. This is because we want to make sure that you have full control over giving permission to different roles in different settings. Here, we will explain all the perspectives that have been mentioned in the permissions in detail. Please see the following for the explanations:
- The permission stated with “Sent by team members” means that the task is created and owned by the other team members. (This state is associated with permissions that will give you access to the selected permission of other team members)
- The permission stated with “Sent by the users themselves” means that the task is created and owned by that user. (This state is associated with permissions that will give each member individual access to the selected permission of themselves)
- The permission stated with “Request team members to sign” means that the task is assigned to the team members by others. (This state is associated with permissions that will give you access to the selected permission of other team members)
- The permission stated with “Request users themselves to sign” means that the task is assigned to the user themselves by others. (This state is associated with permissions that will give each member individual access to the selected permission of themselves)
- The permission stated with “Waiting for team members to sign” means that the task is assigned to the team member and is still waiting for the team member to sign. (This state is associated with permissions that will give you access to the selected permission of other team members)
- The permission stated with “Waiting for themselves to sign” means that the task is assigned to the users and it is still waiting for them to sign. (This state is associated with permissions that will give each member individual access to the selected permission of themselves)
